The Organization Owner, upon entering the platform, selects the Beneficiaries field from the main menu on the left.
Beneficiaries are divided into two (2) types:
- Members
- Guests
Members are the Beneficiaries with an account on the platform which has been created either by email or by username and have a password to use the platform whenever they wish.
Guests are the Beneficiaries without direct access to the platform. Guest user accounts have been created for the sole purpose of participating in Group Meetings which were created and led by the Health Professional.
By selecting the type Members, they then select the Add Member field on the top right where 2 options are displayed. By selecting the Invite field, the beneficiary can be invited by email invitation. By selecting the Create field the account can be created via username, without any email required.
In more detail, by selecting the Invite field, a new tab appears where the Beneficiary’s email address, the suggested language and finally Submit are filled in.
The Beneficiary will receive the invitation in the email that will be automatically sent by the platform, and they will have to fill in the requested information.
Once they complete the activation of the new account, they will appear on the Organization’s page as Activated. After activation the Organization Owner is able, whenever they choose, to Deactivate the Beneficiary, or even Assign them to one or more Health Professionals or even delete them.
The options are displayed in the Beneficiary’s row in the last Actions column by clicking on the arrow.
ATTENTION In case of deletion, the data cannot be retrieved afterwards.
In case the account is not activated within 14 days again from the Actions column the Organization has the option to Resend the Invitation or Delete.
After activation and use of the platform by a Beneficiary, the Organization, by selecting the View Profile, can view the activity of each Beneficiary in detail.
In the second alternative, by selecting the Create field, for which the basic requirement is that the Beneficiary has given their consent to enter their data and register on the Eligence platform.
As the Organization Owner or Administrator, you fill in the username you want and from the Availability Check field you can confirm that it is unique as a username. You set a One Time Password and confirm that you have the Beneficiary’s consent. In case you do not have their consent, it is not possible to register them in this way. Adding them must be done by invitation.
If you have the consent and only then, you select the Save and Continue field.
On the next screen, you fill in the details and finally Submit.
You then inform the Beneficiary of the unique username and one-time password.
The first time they log into the platform, the tab for creating a New Password will appear.
By filling in the details below they are ready to begin the Mental Exercise experience.
By selecting the Guests type, they then select the Add field, for which the basic requirement is that the Beneficiary has given consent to enter their details and register on the Eligence platform.
They fill in a username that they wish and from the Availability Check field, they can confirm that it is unique as a username.
Provided that they have the consent and only then, they select the Save and Continue field.
